INTRODUCTION
Savills Ireland ("we", "us", or "our") respects your privacy and is committed to protecting your personal data. Any reference to “you” or “your” refers to anyone whose personal information we process. This Recruitment Privacy Notice explains how we collect, use, store, and protect your personal data during the recruitment process, in accordance with the EU General Data Protection Regulation (GDPR) and applicable Irish data protection laws.
By submitting your application, you acknowledge that your personal data will be processed as described in this notice.
1. WHAT PERSONAL DATA DO WE COLLECT?
We collect and process the following categories of personal data during the recruitment process:
- Identification and Contact Details: Name, address, email, phone number, and other contact information.
- Job Application Information: CVs, cover letters, educational history, employment history, professional qualifications, references, and any other information you provide during the application process either online, by email or during in-person/video interviews.
- A record of your progress through any hiring process that we may conduct.
- Details of your visits to our website including, but not limited to, data collected to track and examine the use of our website, understand our users’ experience or third party cookies if you have provided us with consent to do.
- Other Information: Data from publicly available sources like LinkedIn, or background checks where applicable (with your prior consent), correspondence received from you.
2. WHY DO WE PROCESS YOUR PERSONAL DATA?
We process your personal data for the following purposes:
- To assess your suitability for the role you have applied for.
- To manage and coordinate the recruitment process, including scheduling in-person/ video interviews, and other communications with you.
- To fulfil legal and regulatory obligations, such as compliance with employment law.
- To maintain records of recruitment activity for internal reporting and legal purposes.
The lawful basis for processing your personal data includes your consent (where applicable), the performance of a contract, compliance with legal obligations, or our legitimate interests (e.g., ensuring an effective recruitment process).
3. HOW DO WE COLLECT YOUR PERSONAL DATA?
We may collect personal data:
- Directly from You: Through the job application form, CV, cover letter, or communications with us.
- From Remote/Video Interviews: Through tools like Microsoft Teams, including any information you provide, chat messages (if applicable).
- From Third-Party Sources: Such as recruitment agencies, publicly available profiles (e.g., LinkedIn), or referees, with your consent.
- Through Recruitment Platforms: We use third-party recruitment service providers to facilitate and manage the application process.
4. AUTOMATED DECISION MAKING/PROFILING
We work with trusted third-party service providers and platforms, to facilitate the recruitment process. These providers may process your personal data on our behalf and in accordance with our instructions. We do not rely on artificial intelligence (AI) tools or automated decision-making processes in any stage of the recruitment process. All decisions regarding your application are made by our recruitment team and hiring managers.
5. HOW LONG DO WE RETAIN YOUR DATA?
We will retain your personal data:
- For the duration of the recruitment process.
- For up to 12 months after the recruitment process has ended, to respond to legal claims or consider you for future job opportunities (with your consent).
If you are successful in your application, your data will be transferred to your employee record and retained in line with our employee privacy notice.
6. WHO DO WE SHARE YOUR DATA WITH?
As set out above, we pass your information to our third party service providers, including Teamtalior, who use it only in accordance with our instructions and as otherwise required by law. Additionally, your personal data may be shared with:
- Internal teams: such as HR and hiring managers involved in the recruitment process.
- Third-party providers: including recruitment platforms like Teamtailor, IT contractors like Microsoft, and recruitment agencies (where applicable).
- Legal or Regulatory Bodies: where required by law, we will share personal information with our regulators, governmental or quasi-governmental organisations, law enforcement authorities and with courts, tribunals and arbitrators as may be required from time to time in order to comply with our regulatory and legal obligations.
All third-party providers are contractually bound to protect your data and use it only for the purposes specified in this notice. Your data will not be transferred outside the European Economic Area (EEA) without appropriate safeguards in place.
7. HOW DO WE PROTECT YOUR DATA?
We take appropriate technical and organisational measures to protect your personal data from unauthorised access, loss, or misuse. These include:
- Secure storage and encryption of electronic records.
- Access controls to ensure only authorised personnel can access your data.
- Regular reviews of our data processing practices.
All data is hosted in datacentres which have systems and protections in place to protect against both unauthorised access, and other external factors that could cause damage to your personal information. There are strict access requirements in place and access is restricted to those absolutely necessary.
We also have procedures in place to deal with any suspected data security breach and we provide regular training and awareness to any of those Savills employees and workers who need access to your personal data.
8. YOUR DATA PROTECTION RIGHTS
Under the EU GDPR, you have the following rights regarding your personal data:
- Right to Access: You can request a copy of the personal data we hold about you.
- Right to Rectification: You can request that we correct inaccuracies in your personal data.
- Right to Erasure: You can request that we delete your data, subject to legal obligations.
- Right to Restrict Processing: You can request that we limit how we use your data.
- Right to Data Portability: You can request your data in a structured, machine-readable format.
- Right to Object: You can object to processing based on legitimate interests.
- Right to not be subject to wholly automated decisions which produce legal effects or which could have a similarly significant effect on you.
- Right to Lodge a Complaint: You can file a complaint with the Data Protection Commission (DPC) if you believe your rights have been violated.
